Consider the following steps when planning an activity or event that requires you to follow protocol. These include public announcements and any event at which the President or Chancellor is speaking or dignitaries and VIPs are attending.

Event scenario sample
Timing is everything at an event, and a scenario helps ensure all key players know what they are responsible for. A scenario can help make sure you stay on time with all aspects of the event. (i.e. speeches, catering, presentations).
